OPEN POSITIONS

General Description:  The Lead Pastor’s (LPs) Personal Assistant (PA) will serve by supporting both Lead Pastors (LPs) in carrying out their pastoral duties. The PA is responsible for aiding the LPs in the performance of their duties which will include, but is not limited to; personal development, leadership development, book writing, weekend service planning, marketing and communication, strategic planning, as well as management of their calendars, correspondence, websites, speaking engagements and travel. The PA is the primary contact person for both LPs on all matters requiring their attention.

  • Must be dedicated to keeping himself/herself spiritually strong

  • Must be able to recruit, lead and equip leaders
  • Must have a vast understanding of the vision, structure and systems at Faith Christian Center (FCC)

Duties:

  • Manage LPs calendar and all appointments, functioning as the primary contact person for meetings and other schedule commitments
  • Produce agendas and minutes for meetings conducted by LPs
  • Capture meeting notes and print out what’s needed for each day’s sessions or meetings
  • Assist with executing weekly, monthly & annual goals
  • May be asked to travel with LPs to conferences, speaking engagements and other out-of-town events
  • Help respond to all phone calls and emails within 24-48 hours
  • Attend weekly staff meetings capturing actionable items for follow up
  • Store and manage hardcopy and electronic documents
  • Manage all forms of correspondence including voicemail, e-mail, and regular mail
  • Sort through and organize emails
  • Maintain personal websites and social media pages for LPs
  • Debrief with LPs after Sunday services for take away items for the week
  • Process outside emails, speaking requests, meeting requests, etc.
  • Serve as the liaison for staff one-on-one meeting requests
  • Help guard LPs private time for prayer and devotion
  • Help manage communication with mentors, retreats, conferences and other opportunities for personal growth
  • Manage all lunch/dinner arrangements
  • Daily wrap-up at the end of the work day
  • Make travel arrangements and coordinate speaking engagement logistics
  • Manage all travel – flight, hotel, rental, and other reservations
  • Prepare expense reports for church credit cards
  • Prepare and manage all support documents as needed
  • Capture notes from books, articles and resources for future use
  • Assist LPs by running personal errands or performing personal tasks

Pastoral Attendants:

  • Provide leadership and oversight to the pastoral attendants who assist LPs on Sundays, service days and special events
  • Provide ongoing training for existing volunteers
  • Create a culture within the department that active volunteers and potential volunteers want to be a part of
  • Actively recruit new team members who would benefit from the pastoral attendant experience
  • Make sure there is coverage on days when guest speakers are scheduled to minister. The PA must be willing and able to step in as needed
  • Work closely with church leaders to ensure all communication between the executive office and other departments is clear and seamless

The Lead Pastors Personal Assistant is expected to:

  • Keep LPs informed of church and staff needs that come to his/her attention
  • Treat every staff member, volunteer, member or visitor with courtesy, honor and respect
  • Use time wisely, but be willing to allow for appropriate interruptions, especially if it involves ministering to individuals or assisting another team member
  • View his work as an opportunity to grow in his ability to serve God and His church
  • Live a life of prayer and solitude before God
  • Maintain confidentiality in ALL matters
  • Extend grace and mercy to LPs and their family to be human, make mistakes, recover and work through their challenges like all leaders and families have to do
  • Honor LPs family by protecting their private moments and exchanges that happen within their home

Accountability:

The Personal Assistant shall be accountable to:

  1. Lead Pastors
  2. Direct Supervisor

Expectations for Work Hours:  The Personal Assistant’s position is designed as a 40-hour-per-week position. It is understood that the PA may need to work more than 40 hours each week to be responsive to the needs of people and faithfully fulfill the roles and responsibilities of this position.
